Requirement

AAAI 2026 in Singapore called for a rather ambitious undertaking: full AV deployment across 36 breakout rooms spanning Singapore Expo and a nearby hotel. Each room was to be equipped with its own sound system, three microphones, and a fully integrated livestream setup. In total, the conference required 37 concurrent livestreams, ensuring every session could be experienced in real time by a global audience.

Technical Challenge

The principal constraint was time — or more precisely, the lack of it. All 36 rooms across two venues had to be deployed, tested, and fully operational within a 6-hour window. With the client arriving the day prior, there was little appetite for surprises. Everything simply had to work, immediately and without persuasion.

At this scale, variation is the enemy of efficiency. Each room therefore required strict standardisation, allowing for swift troubleshooting and effortless equipment swaps should the need arise. Meanwhile, the airwaves were rather crowded — with over 100 microphones in operation, careful RF coordination was essential to avoid the sort of chaos that tends to unfold when frequencies begin stepping on each other’s toes.

Solution

Motion Media Works approached the deployment with a modular, standardised system design, allowing each room to function as a self-contained, repeatable unit. This ensured that all rooms could be deployed within the 6-hour window without compromising performance or reliability.

Crucially, our team conducted early on-ground site visits and pre-event coordination, aligning layouts, infrastructure, and technical requirements well before the client’s arrival. By the time setup began, there were no lingering questions — only execution.

Deployment was carried out in parallel across both venues using a structured workflow, while RF coordination was centrally managed to maintain clean and stable microphone operation. With real-time monitoring and technical oversight, all 37 livestreams were delivered smoothly from the outset, as one would hope.

Outcome

All 36 breakout rooms across both venues were delivered on schedule and fully operational within the 6-hour setup window, with proceedings beginning precisely as planned. The standardised approach allowed for immediate issue resolution and seamless equipment swaps, ensuring uninterrupted sessions throughout.

All 37 concurrent livestreams ran reliably, providing stable, high-quality access to a global audience. Despite the density of wireless systems, there were no significant RF conflicts or microphone failures — a small but meaningful triumph.

In the end, the entire operation unfolded with quiet efficiency — the sort that, when done properly, goes almost unnoticed.
